Working Safely

Following the Government's Working safely during COVID-19 in other people’s homes guidance issued on the 11th May 2020, we have formulated our own guidance for both our Clients and our self-employed Viewbers.  We hope that this guidance provides assurances that the services which Viewber provides can be offered safely and with minimal risks to all parties concerned.

Indications show that the demand for Viewbers services will be increased over the weeks and months ahead, whilst our Clients staff remain furloughed, are shielding or need to continue to work from home.  If you are unsure as to how Viewber can assist you in these situations, please email to book a free and without obligation consultation.

Booking an appointment

Before booking a Viewber to conduct an appointment, Clients must ensure that any property occupiers are not self-isolating or shielding.  If anyone is self-isolating or shielding within the property an appointment with Viewber should not be booked.

In addition to checking whether the property occupiers are self-isolating, the Client must also check to confirm whether any of the occupiers are classed as clinically vulnerable, for example, the property occupier is over 70.  Appointments can still be booked in this instance, however, when making the appointment the Client should write in the Notes for Viewbers on the booking form that there is a clinically vulnerable occupant and should advise the Viewber how to gain access to the property without the need for face-to-face contact.

If a Client wishes for their own Risk Assessment Notice to be shown to the property occupiers and/or viewers, then they must upload this document to the appointment booking.

Clients are requested to place as short as possible appointment bookings.  Our minimum appointment time is 30 minutes. Current Government Guidance states that viewing appointments should last a total of 15 minutes per viewing party. This time allocation must include a maximum of 10 minutes to show viewers around the property and then a further 5 minutes to allow time to ventilate the property before another viewer is allowed into the property.
Open House appointments are currently being replaced by timed viewing slot appointments. Each Viewer will need to be allocated a specific 15 minute time slot. The name of each viewer that will be attending the property for each appointment will need to be provided at least 2 hours prior to the appointment.

Allocation of new appointments

Wherever possible, we will instruct the same Viewber to undertake repeat visits to a property. To minimise travelling time, we will also do our utmost to ensure that the Viewber appointed is the most local Viewber available to the property address.

Viewbers have been given an online form to complete if they are shielding, or are self-isolating so that we can temporarily remove them from our allocation system until such a time as they are able to resume activities.

Confirmed appointment bookings

Once a Viewber has been confirmed for an appointment, our Clients must make contact with the property occupiers, viewers and any other parties (excluding the Viewber) to advise how the appointment will be conducted. Our guidance is below:

  • Viewbers will wash their hands on arrival, either by using sink and soap within the property or using hand sanitiser/hand wipes.

  • When arriving at an occupied property, the Viewber will knock the door and then step 2 meters back (about 3 steps) so when the occupier opens the door social distancing is adhered to. Of course, if the Viewber has been made aware that the property occupier is clinically vulnerable, they will follow the guidance provided by the Client.

  • The Viewber will introduce themselves as they normally would (if applicable to the situation) but will not shake hands.

  • All physical viewings where prospective buyers or renters will be entering the property should involve no more than 2 households (including the Viewber) inside the property at any one time. This includes any agent accompanying either party. Anyone in a support bubble with either household, however, will count as part of that household. Please read the latest guidance on indoor gatherings and support bubbles.

  • Where prospective buyers who are currently from separate households wish to view the property on the same occasion, we advise that one household leaves the property to allow the other to enter. This allows for both households to view the property and ensures social distancing.

  • The Viewber will explain to the occupant that due to social distancing the appointment will need to be conducted either with all occupants waiting outside of the property, or keeping to one room and moving to another room when required. They will ask for the property occupiers preference.

  • Property occupiers should ensure all internal doors are open to minimise contact with door handles. It would also be useful for the occupier to open up all windows to ensure good ventilation is maintained, along with the cleaning of high touch items such as door handles and any other regularly touched surfaces.

  • If the occupant refuses to assist with social distancing measures and the property is not large enough for the Viewber and viewing parties to be able to walk through whilst maintaining social distancing, then the appointment will be aborted.

  • When arriving at an unoccupied property, the Viewber will use standard household cleaning wipes on all door handles within the property and will open up all internal doors to minimise contact with door handles.

  • Viewbers will ask those in attendance to ensure that they keep to social distancing measures, prescribed by the Government, whilst inside of the property. A Viewber cannot be held liable if social distancing is not maintained by those in attendance.

  • As a matter of course, Risk Assessment Notices will not be shown to those in attendance unless asked. If the Client has not supplied their own to the Viewber as a document uploaded to the booking form, the Viewber will be able to show the Viewber branded Risk Assessment Notice available on our website

Travelling to appointments

Viewbers are advised to walk or cycle to appointments where practicable to do so or to use their own transport.  The use of public transport should be completely avoided.  Where a vehicle needs to be used, Viewbers should regularly clean their vehicle using gloves and standard cleaning products - with an emphasis of cleaning door handles and other high touch areas.

Before travelling to an appointment, Viewbers must ensure that they have everything needed from their Essential Kit List.  Items relevant to COVID-19 include hand wipes/hand gel and standard household cleaning wipes.

Greeting viewers and other people in attendance

When viewers arrive at a property, the Viewber will introduce themselves as they normally would and say that due to social distancing they are unable to shake their hand.  They will then explain how the appointment will be conducted to ensure social distancing is maintained.

During the appointment

Viewbers will not share pens, paper or any other objects during the appointment with anyone in attendance.

To reduce the spread of germs, Viewbers will always look to cough or sneeze into a tissue, or their sleeve, and dispose of the tissue as soon as possible and then re-wash their hands, either with soap and water within the property or using their own hand sanitiser or hand wipes.

Ending appointments

Weather permitted, Viewbers will hold all end of appointment discussions with the viewers outside of the property, maintaining social distancing.

The Viewber will remove from the property any wipes, tissues etc which they have personally used during the appointment and dispose of them as appropriate.

Personal Protective Equipment

As with other non-clinical settings, the precautionary use of PPE to protect against COVID-19 is not encouraged.  That said, Viewbers are self-employed and if they wish to wear gloves, shoe covers and or aprons then they are able to do so if this helps them to feel more comfortable.

Face Masks/Coverings

Following revised guidance from the Government, to take effect from the 8th August, which stated that face coverings will be mandatory in indoor settings where people are likely to come into contact with people they don't know, we have revised this policy to state that Viewbers should wear face masks/covering when working within a property.  Face coverings could be something like a scarf, or a mask made at home.  Guidance on how to do this and use them safely can be found on GOV.UK.

If you require a Viewber to specifically wear gloves please make sure you add that to the notes for each job.

Viewber Risk Assessment Overview

Our HQ Staff Members work from home, as they have always done, and have no face-to-face contact with our Clients or Viewbers.  We, therefore, deem the risk of HQ Staff Members contracting or transmitting the COVID-19 virus as a result of their Viewber duties to be nil.

We recognise that Viewbers travelling to appointments, meeting 3rd parties and working within properties carries a risk of transmission, more so in occupied properties than empty properties.  We also recognise that our Clients play a significant part in managing this risk.  With this in mind, we have created this guide outlining the responsibilities of both our Clients and Viewbers in minimising the risk of transmission to a low level.  This guidance will be made available on the Client and Viewber Dashboards and will be included on all appointment notifications to help ensure compliance by all parties concerned.
